Privacy Policy

FreightAudit Pilot is a service of HDC Brands LLC, a New Jersey limited liability company. Contact: hello@carbongreylabs.com. Our Terms of Use — including the Invoice Health Check purchase terms — are at /terms.

1. Scope

This Privacy Policy explains how HDC Brands LLC (d/b/a FreightAudit Pilot) collects and uses information through the Site and in our business-to-business marketing. It does not cover data we process for clients under a signed services agreement; that is governed by the agreement’s confidentiality and data-handling terms.

2. Information we collect

You provide: business contact details (name, company, title, business email, phone), information you enter in forms (ports, carriers, estimated freight spend), and any documents you choose to send us.

Collected automatically: IP address, browser and device type, pages viewed, referring URL, and approximate location, via server logs, cookies and analytics tools (see Section 6).

From third parties: business contact and company information from public sources, professional networks, referral partners, and B2B data providers, used for outreach to businesses we believe may benefit from our services.

We do not knowingly collect information from consumers acting in a personal capacity or from anyone under 18. We do not collect payment-card or bank-account data through the Site; Invoice Health Check payments are made on a checkout page hosted by Stripe, Inc., which collects and processes that data under its own privacy policy. We receive from Stripe your name, company, billing email and address, the payment amount and status, and the last four digits of the payment method.

3. How we use information

• To respond to inquiries and evaluate whether we can help your business.
• To send business-to-business marketing communications about our services (you may opt out at any time — Section 5).
• To operate, secure and improve the Site.
• To perform and manage services agreements, including invoicing.
• To comply with law, enforce our terms, and protect our rights.

4. How we share information

We do not sell personal information. We share it only with: service providers that host our Site, email, CRM, analytics, document storage, e-signature, payment processing (Stripe) and AI-assisted document processing tools, under contracts that restrict their use of the data; referral partners, only to confirm a referral you were told about; professional advisors (accountants, attorneys, insurers); authorities when required by law or to protect rights and safety; and a successor in a merger, acquisition or asset sale. Data is stored and processed in the United States.

5. Marketing email and your choices

Our marketing emails include our postal address and an unsubscribe method. Opt-out requests are honored within 10 business days, as required by the CAN-SPAM Act. You may also email hello@carbongreylabs.com with “unsubscribe” to stop marketing messages. Transactional and service messages (for example, about an active engagement) are not affected.

6. Cookies and analytics

We use essential cookies for Site operation. The Site does not currently run an analytics library and does not set advertising or cross-site tracking cookies. You can control cookies in your browser settings; disabling cookies may affect some Site features. We do not currently respond to “Do Not Track” signals, but we honor Global Privacy Control signals where required by law.

7. Security and retention

We use reasonable administrative, technical and physical safeguards, including encryption in transit, access controls and multi-factor authentication. No method is perfectly secure. We keep inquiry data for up to 24 months after last contact, marketing suppression records indefinitely (so we do not contact you again), and client records as required by our agreements and law.

8. Your rights

Depending on where you are located, you may have rights to access, correct, delete or restrict use of your personal information, or to opt out of certain processing. To make a request, email hello@carbongreylabs.com. We will verify your identity and respond within the time required by applicable law. We will not discriminate against you for exercising your rights. If you are in the EU/UK, note that we are a U.S. business serving U.S. importers and exporters and do not target individuals in those regions; if you contact us from there, your data will be transferred to and processed in the United States.
